Terms of Service

1. Acceptance of Terms
By creating a ClinicPro account you agree to these Terms of Service. If you are signing up on behalf of a clinic or medical practice, you represent that you are authorised to bind that organisation.
2. The Service
ClinicPro provides multi-tenant software for managing patient bookings, medical records, income reporting, and related clinic operations. The Service is delivered as-a-service and may be updated at any time.
3. Your Account
You are responsible for every action taken with your account. Keep your password confidential, don't share logins, and notify us immediately if you suspect unauthorised access. Clinics are solely responsible for the accounts they create for their reception staff.
4. Plans & Payment
The Free plan allows up to 10 active patient records. The Pro plan is a one-time payment that unlocks unlimited patients and up to 4 staff accounts. Fees are non-refundable once the upgrade is applied, except where required by law.
5. Acceptable Use
Do not upload malware, attempt to reverse-engineer the Service, bypass our security measures, or use the system to store data that violates patient privacy laws in your jurisdiction. We may suspend accounts that put other users at risk.
6. Patient Data & Medical Responsibility
ClinicPro is a record-keeping tool — it does not provide medical advice. All clinical decisions and patient care remain the sole responsibility of the treating physician. You are responsible for ensuring your use of the Service complies with medical regulations in your country.
7. Data Ownership
You own the clinical data you enter. We store it solely to provide the Service. Data is isolated per clinic using database-level row security so that no other clinic can access your records.
8. Uptime & Support
We aim for high availability but cannot guarantee uninterrupted service. Scheduled maintenance is announced in advance where possible. Support is provided during business hours for all plans; Pro plan subscribers receive priority response.
9. Termination
You may cancel at any time from your account. We may terminate accounts that violate these Terms with reasonable notice. Upon termination you can export your data for 30 days, after which it is permanently deleted from our systems.
10. Limitation of Liability
To the fullest extent permitted by law, ClinicPro is not liable for indirect, incidental, or consequential damages arising from use of the Service. Our total liability for any claim shall not exceed the amount you paid us in the preceding 12 months.
11. Changes to These Terms
We may update these Terms from time to time. Material changes will be announced via email or in-app notification at least 14 days before they take effect. Continued use after that date constitutes acceptance.
